When I was awarded the Bookflix grant from the Virginia Education Foundation I used email and a spreadsheet to keep track of how the money would be transferred from the Virginia Education Foundation to scholastic through the school system. Below is a video that was created by a film crew to explain and encourage the VEF grant process.
